Google Review Response Templates You Can Copy and Adapt

Below are twenty-two reply templates for Google reviews: five-star, three-star, one-star, no-text, wrong-business and a few awkward cases. Each is short enough to post as is, and each has parts you swap so replies do not read as copies. Use them to start, then add one real detail from the review every time.

A template saves you the blank page. It does not save you from reading the review. The reply is read by two people: the reviewer, and the next customer deciding whether to call you. Google's help page says responding to reviews shows that you value feedback. It does not publish any ranking weight for replies, so write them for the readers.

How to use a template without sounding like a robot

Every template below has three slots in brackets. Fill them in before you post:

Some vendor guides claim that Google penalises repeated, templated replies. That claim does not appear on Google's help page and we could not confirm it. The reason to vary your wording is simpler: a prospect scrolling through ten identical replies concludes nobody is listening. Keep a few versions of each template and rotate them.

The reasoning behind these shapes is in two longer guides: how to respond to a positive Google review and how to respond to a negative one. This page is the quick-copy version.

Five-star reviews with text

Thank them, repeat one detail, invite them back. Two or three sentences.

Template 1: general

Thank you, [Name]. We're really glad [detail] worked out for you. We look forward to seeing you again. [You]

Template 2: they named a staff member

Thanks, [Name]. I'll pass this on to [staff name]. It will make their day. See you next time. [You]

Template 3: they said they will recommend you

That means a lot, [Name]. Recommendations from customers are how we grow, so thank you for passing us on. [You]

Template 4: a regular

Good to see you in here again, [Name], and thank you for writing this. We appreciate you coming back. [You]

Template 5: a first-time customer

Welcome, [Name], and thank you for trying us. We're glad [detail] was a good start. Come back soon. [You]

Five-star reviews with no text

A rating with no comment still deserves a reply, and it is the easiest place to use a template because there is no detail to pick up. Keep it brief. Do not guess what they liked.

Template 6

Thank you for the five stars, [Name]. We appreciate you taking the time. [You]

Template 7

Thanks, [Name]. We're glad you had a good visit. If there's anything we could do even better, we'd love to hear it. [You]

Four-star and three-star reviews

These are the most valuable reviews to answer well because the reviewer is usually telling you exactly what to fix. Thank, acknowledge the one thing, say what you will do, and stay calm.

Template 8: four stars, small complaint

Thank you, [Name]. I'm glad you enjoyed [detail]. You're right about [the small complaint], and I'm sorry it took away from the visit. We're [what you are doing about it]. We hope to earn the fifth star next time. [You]

Template 9: three stars, mixed

Thanks for the honest review, [Name]. It's good to hear [the good part]. I'm sorry [the bad part] fell short. That isn't the standard we want. If you'd like to tell us more, please contact us at [phone or email] and I'll look into it myself. [You]

Template 10: three stars, no text

Thank you for your feedback, [Name]. We'd like to know how we could have made it better. If you're willing to share, you can reach me at [phone or email]. [You]

One-star and two-star reviews

Write the reply you would like a stranger to read about you. Stay brief, take what is true, offer to talk offline, and give no argument. Never share a customer's details, such as what they booked or their medical history, even to defend yourself.

Template 11: the complaint is fair

[Name], thank you for telling us, and I'm sorry. You waited longer than you should have, and that's on us. I've spoken with the team about [what changed]. If you'd give us another chance, please contact me at [phone or email] and I'll make sure it goes better. [You]

Template 12: the complaint is partly fair

Thank you for the feedback, [Name]. I'm sorry [the part that's true]. We do [the policy] because [short reason], but I can see how it came across badly. I'd like to talk it through. Please reach me at [phone or email]. [You]

Template 13: a price complaint

Thank you for saying so, [Name]. I understand price matters. Our quote for [service] covers [what is included], and I'm sorry we didn't explain that clearly. If you'd like to go through it with me, call [phone]. [You]

Template 14: a rude-staff complaint

I'm sorry, [Name]. That isn't how we want anyone to be treated. I'm looking into what happened and would like to hear your side directly. Please contact me at [phone or email]. [You]

Template 15: a one-star with no text

Thank you for your feedback, [Name]. We're sorry your visit wasn't what you hoped, and we'd like to understand why. Please contact us at [phone or email] so we can put it right. [You]

Do not write "we have no record of you". It reads as calling the reviewer a liar. Say you are happy to look into it once they get in touch.

Awkward cases

Template 16: you believe it is the wrong business

Hi [Name]. We can't find a visit under this name, and we wonder if this review was meant for a different business. If it was one of ours, please contact us at [phone or email] so we can look into it. [You]

Calm, factual, an open door. Also flag the review from your profile as being about a different business.

Template 17: the reviewer is abusive

We're sorry you felt this way, [Name]. We take every complaint seriously. Please contact us at [phone or email] and we'll look into it. [You]

Do not match their tone. Then check whether the review breaks Google's content policies, such as threats, hate speech or personal information. If it does, flag it. A reply does not remove it.

Template 18: a review about something you cannot control (weather, traffic, a city event)

Thank you, [Name]. I'm sorry [the thing] affected your visit. It was outside our control, but I wish we had handled [the part you could] better. We'll do that next time. [You]

Template 19: a customer who changes their mind

Thank you, [Name]. I appreciate you coming back and updating your review, and I'm glad we could put it right. [You]

You may reply to a changed review, but never ask or pay someone to change a rating. Google lists offering something in exchange for changing or removing a review as prohibited.

Template 20: a very long, detailed review

Do not use a template. Answer two points the reviewer made, by name, and thank them for the effort of writing it. Long reviews are written by people who care, and a generic reply shows you did not read them.

Reviews in the middle of the night, and other timing questions

Reply within a couple of days when you can. A quick answer to a bad review suggests you take problems seriously. A good review can wait a little. Do not reply while angry. Write the reply, wait an hour, and read it again as if you were the reviewer.

What never goes in a reply

Leave outWhy
The customer's full name, booking, or health or financial detailsIt makes private information public, and it harms you more than the review did
"Our records show you…" or any evidence-style rebuttalTurns a reply into a trial
A discount or gift for changing the reviewGoogle prohibits offering something in exchange for changing or removing a review
Sarcasm or "we're sorry you feel that way"Reads as dismissive
Links to your website or promotionsMakes the reply look like an ad
Threats of legal actionFrightens other would-be reviewers and prospects

A system for replying fast

  1. Save the templates in a note or a text-expander so you can paste and then edit.
  2. Set a weekly slot. Ten minutes on a fixed day, as in the routine from how to get more Google reviews.
  3. Reply to bad ones first. Those are the ones prospects read.
  4. Edit every template: name, detail, signature. Always.
  5. Keep a log of recurring complaints. If three people mention parking, the reply is not the fix.

If you would rather not write them, we write replies for your newest reviews free after a quick check of how you compare with nearby rivals.

Frequently asked questions

Can I use the same template for every review?

You can use the same structure. Change the wording and add a real detail each time, so prospects reading several replies do not see copies.

Should I reply to every Google review?

Aim to. Google says replying shows you value feedback. Start with the negative ones, then the positive ones as time allows.

Can a reply remove or change a bad review?

No. Only the reviewer can edit or delete their own review, or Google can remove it if it breaks its content policies. To report one, use the flag option on the review from your profile.

How long should a reply be?

Two to four sentences for most reviews. A complaint can have a short paragraph. Longer than that and it starts to read like a defence.

What do I do with a review that is clearly fake?

Flag it to Google through your Business Profile, and post a calm reply saying you cannot find the visit. Do not accuse the reviewer in public.

Is it all right to use AI to write replies?

Nothing on Google's help page forbids it, but a reply must still be accurate and reflect what happened. Read every reply before you post it, and never send an unedited draft to an upset customer.
